Professional Email or Business Email Writing Skill

Email writing is the one of the most important communication tool. In the corporate world, email is not only use for communication purpose but also use as documentations purpose. So writing an email is a skill and many people don’t know how to write a professional email or business email writing.
Why we need to know email skill? Why email skill is more important? Email is important because it reflecting image of you and your company. So below are the few things which you need to keep in mind while writing an email:
      ·        Professional emails shouldn’t be epic in length.
·        Be respectful of yours reader’s time.
·        Remember to say “please” and “thank you.”
·        Fill subject line with the topic on which whole email about.
·    Don’t use all CAPITAL words. It reflects as writer is shouting on reader.
·    Don’t use short form of any words, like Please – Plz, Laughing out Loud – LOL, etc.
·      Response to an email on time is important. If you need more then 24 hours to collect information or make a decision, send a brief response explaining the delay.
·    Add a signature block with appropriate contact information, like your name, Business address and phone number.

Writing an email is an art. Email may contain following part/elements or format
of an email:

          ·        Subject Line
           ·       Salutation (Greeting)
          ·        Body of Email
           ·        Signature


Subject Line

Subject is more important in email writing. Subject line is like topic of your email. While reading subject line people put your email as urgent, important, acknowledge order. Please avoid subject line start by “Re”.

Salutation

Opening of an email should be with a greeting and a name. It’s like giving respect to the reader. Few greeting people generally use like, Good Morning Sam, Hi John, etc. It is very much important because sometimes a good greeting can change the reader’s mood/feelings.

Body Of Letter

Don't write your content in one paragraph. It looks boring while reading and might be chance of reader not interested to read full email or reader miss out some important information about the email.

The body of your letter will include several paragraphs. And if you fell that you have more content to write an email then I personally suggest you to put things into point. It will save reader's time and reader can understand the matter/content easily.

At the end be sure that the purpose of your letter clear. The reader will need to known what you are asking for and how they can help you.

Signature

Don’t just end up with your email because sender needs some assistance from receiver. Close your email in a formal way like "Best regards" or "Sincerely" which is followed by a comma, then your signature if you're sending a typed letter.
